This role is within the Physiology & Membrane Biology department.
Responsibilities
The Executive Assistant (EA) is responsible for providing administrative support and executive assistance to the Chair of the Department of Cell Biology and the Chair of the Department of Physiology/Vice Dean of Basic Sciences (VDBS). This position includes communications and pertinent data sharing with staff and academics across the School of Medicine. The EA performs special projects and assignments that are highly sensitive and complex in nature, requiring a high level of independence and initiative in execution and implementation. Responsibilities include scheduling, coordinating, and serving as liaison to campus administrators, faculty, and professional colleagues. This position drafts and edits correspondence, while manages academic and group meetings, as well as special events for both departments and special events for the VDBS (workshops, task forces, committees, and special professional transition events). Additional responsibilities include processing of travel, reimbursements, payroll, and other professional activities. This position contributes to other broad, organizational projects or activities as assigned.
Required Qualifications
Demonstrated experience in managing multiple calendars, scheduling, coordinating, and serving as liaison to professional colleagues
Demonstrated experience drafting and editing professional correspondence, managing group meetings, coordinating and planning of special events
Demonstrated experience working with computers and a variety of software programs (i.e. Microsoft Office, MS Excel, and MS Word)
Strong service orientation
Solid analytical/problem-solving skills
Ability to work independently, track your own as well as the executive's tasks, and meet deadlines
Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well as external constituencies
Ability to pivot quickly as priorities change
Ability to anticipate the executive's needs
Strong skills to communicate effectively and tactfully with all levels of staff, faculty, alumni/donors, students, and external constituencies, both verbally and in writing
Advising and counseling skills
Ability to multi-task with demanding timeframes
Ability to use high-level discretion
Solid skills in problem identification
Preferred Qualifications
Experience using Kuali, UCPath, Cognos, Ecotime, AggieTravel, Pre-Purchasing, and AggieBuy
Special Requirements
